We are looking for a highly motivated individual to provide key support to two department heads within our global Human Resources division. In this role, you will assist the Head of Global Talent Attraction, Recruiting & Early Careers and the Head of People & Organisational Development in their day-to-day responsibilities, along with contributing to a variety of strategic projects and initiatives. You will be also working with their direct reports and involved in tasks that reflect the departments’ active engagement in critical HR projects. About the role

  • Efficiently manage the complex calendars and meeting schedules of two senior HR leaders, ensuring seamless coordination across global teams.
  • Plan and organise business travel and settlement of travel expenses.
  • Play an active role in tracking and coordinating global HR projects, helping to ensure deadlines are met and objectives are achieved.
  • Serve as a key communication hub, liaise with internal and external stakeholders to maintain smooth information flow for the department heads.
  • Provide support in writing and/or updating presentations, papers and documents for submission up to Board level.
  • Monitor budget control and analysis for the team and contribute to overall cost-efficiency.
  • Organise and execute events, workshops, and team-building activities that foster engagement and collaboration within the teams.
  • Develop and maintain team intranet pages, sharepoint etc., support maintenance of teams communities and email distribution lists, and order IT and office supplies when required.

Job requirements and experience

  • Prior experience as a personal or team assistant.
  • Experience managing complex schedules and working with geographically disperse teams.
  • Excellent ability to manage multiple tasks, prioritize effectively and work under pressure.
  • Strong written and verbal communication skills, with the ability to craft professional documents and presentations.
  • A “can-do” attitude and the ability to take initiative without constant supervision and proactively identify creative solutions to problems.
  • Ability to handle sensitive information with confidentiality and professionalism and a sharp eye for detail in all tasks.
  • Understanding of cultural differences and the ability to work effectively with diverse, international teams.
  • Proficiency in English.
  • Proficiency with office software (Microsoft Office Suite, especially Outlook, Excel, PowerPoint), collaboration tools (e.g., Microsoft Teams, Zoom), and HR information systems (SAP).

Advantageous, but not essential

  • Experience in an international business organization.
  • Experience and interested in modern way of working, paperless, digital, applying new tools.
